Documentary & Guarantee Operations Specialist

We​ are seeking an experienced Documentary & Guarantee Operations Specialist to manage and process trade finance instruments including letters of credit, guarantees, and standby facilities. This role is integral to ensuring the timely and accurate execution of global trade transactions, maintaining operational excellence, and upholding compliance and risk standards.

You​ will work closely with internal teams and clients to support every stage of the transaction lifecycle​, from issuance and confirmation to final settlement​, while contributing to continuous improvement across trade operations.

Key Responsibilities​:

  • Process and administer all types of letters of credit and guarantees in line with client instructions, industry standards (UCP 600, ISP98, URDG 758), and internal compliance procedures.
  • Ensure timely handling of sensitive or complex transactions and escalate any unusual activity as appropriate.
  • Provide operational and technical support on trade finance documentation and best practices to internal teams and clients.
  • Prepare and execute letters of credit, amendments, and related documentation within established systems and workflows.
  • Monitor daily maturity reports, ensuring all maturing transactions are acted upon promptly.
  • Maintain accurate and complete transaction records, documentation, and audit trails.
  • Investigate and resolve pending inquiries, discrepancies, and exceptions through proactive follow-up with relevant stakeholders.
  • Review and distribute amendment notices and confirmations to appropriate parties.
  • Reconcile open items, clear daily exceptions, and support accurate cash reporting.
  • Verify that all required documentation (e.g., executed instruments, compliance checklists) is complete and properly filed.
  • Ensure timely disbursement and settlement of funds associated with letters of credit.
  • Support internal audits and compliance reviews by providing requested documentation.
  • Review and report on past-due fees or charges to ensure accuracy and timely resolution.
  • Identify opportunities for process efficiency and contribute to a culture of continuous improvement.

Qualifications

  • College or university degree in Finance, Business Administration, or a related discipline.
  • Minimum 10 years of experience in commercial and standby letters of credit operations or related trade finance functions.
  • Proficiency in English (Spanish or another language is an asset).

Skills & Competencies

  • In-depth understanding of trade finance rules and standards (UCP 600, ISP98, URDG 758).
  • Strong knowledge of trade documentation review and regulatory guidelines including sanctions, compliance, and anti-boycott regulations.
  • Working knowledge of SWIFT and other trade-related systems.
  • Excellent communication, analytical, and documentation skills.
  • Advanced proficiency in Microsoft Word and Excel; familiarity with database or workflow tools is an asset.
  • Highly organized with strong attention to detail and time-management abilities.
  • Proven ability to collaborate across teams and build positive relationships with internal and external stakeholders.
  • Professional, proactive, and adaptable approach with a commitment to accuracy and service quality.
