Real Estate Transactions & Operations Administrator - CB0018

We are looking for a self-driven and dedicated Real Estate Transaction & Operations Administrator to join a versatile and high functioning team!

Responsibilities:

•    Provides general administrative support to a team of sales professionals, analysts and marketing professionals
•    Gathers supporting documentation for real estate transactions to complete the Deal Sheet, FINTRAC, all RECBC required documents for compliance purposes, and process Brokers’ commission payments while abiding by company policies as well as local and national laws
•    Performs administrative duties such as updating and maintaining client databases, data-entry of expenses and statements, bookkeeping, writing out cheques, running errands, scheduling meetings, printing/scanning/filing various documents and maintaining confidential files
•    Serves as a liaison with those outside of the department (mailroom, front desk, office, conveyance, and IT) regarding administrative issues
•    Assists in collecting and filing of all deals related documents, and delivery of all marketing materials including brochures, investment packages and market reports or summaries relating to the sale of commercial investment properties
•    Initiates correspondence and creates memorandum by collecting and analyzing information; compiles and prepares data for administrative reports; edit, revise and format documents so they are client ready
•    Administers the department’s record keeping system; ensures that files are maintained in accordance with company policies and procedures
•    Provides support to the Senior Executive Assistant 
•    Contributes to team effort by accomplishing related results as needed
•    Carries out special projects and assignments as required

Experience, Training and Education Requirements:

•    2 years of relevant experience providing administrative support to a team of professionals
•    Proven ability to achieve high performance goals and meet deadlines in a fast-paced environment with changing priorities and deadlines; sometimes under pressure while remaining flexible, proactive and efficient
•    Ability to work independently on projects, from conception to completion
•    Strong time management, problem-solving, written and verbal communication skills
•    Ability to calculate intermediate figures such as percentages, discounts, commissions
•    Good organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with strong attention to detail
•    Proven ability to handle confidential information with discretion, be adaptable to various competing demands and demonstrate the highest level of customer service and response
•    Proven ability to work as a self-motivated individual and in a team environment
•    A Bachelors degree or equivalent combination experience and education
•    Extensive experience using Microsoft Office products
