Mailroom Associate-26323

Richmond, BC

• Prepare mail and packages for external shipment using common mail services including fax, air express, freight and postal services.
• Receive, sort and process mail documents, packages, and supplies. Notify recipients.
Basic Printing utilizing colour production printers
• Record & process accountable mail information, maintain logs.
• Basic Printing utilizing colour production printers
Shipping and receiving using automated system to track and manage activity.
• Arrange alternative courier or shipping services to meet customer requirements.
• Determine output packaging per packaging standards.
• Verify and maintain records on incoming and outgoing shipments.
• Operate mail equipment including mail inserters, sorters and finishing equipment.
• Perform quality checks on outbound mail.
• Perform charge-back reporting for postage, air express, local delivery, and faxes.
• Perform mail labeling/mail merge.
• Perform electronic mail distribution (open, mail prep, scan and distribute).
• Perform fulfillment functions, such as assembly, packaging, and kitted materials.
• Follow mailroom security procedures.
• Perform logging, transmission, receipt, and timely distribution of faxes.
• Deliver and pick-up mail on scheduled runs.
• Recommend improvements to achieve cost savings and optimize workflow.
• Track, trace, and resolve mail problems or concerns.
• Monitor/order/replenish supplies inventory.
• Able to be on your feet 80% of the time.
• Able to lift and move up to 50 pounds.
• Ability and willingness to learn.
• Have a valid driver’s license.


• Good communication and customer service skills, both written and verbal.
• Self-motivated.
• Able to read, write and follow English instructions.
• Intermediate computer skills, including MS Office.
• Ability to manage multiple tasks and perform duties with minimal supervision.

LEVEL 2: All skills listed above, and:
• Ability to operate high volume mail and insertion equipment.

LEVEL 3: All skills listed above, and:
• Ability to direct and lead mailroom staff.
• Focus on continuous process improvement.


• 6 months to 1 year experience in a professional working environment.
• Experience in a client-facing environment.

LEVEL 2: All experience listed above, and 1 to 2 years’ experience in a mailroom environment

LEVEL 3: All experience listed above, and:
• 3+ years’ experience in a mailroom environment
• Previous experience leading a team of peers

DOCK: All other skills mentioned above, and:
• Previous dock experience.
• Experience with lift truck and material handling equipment.


LEVEL 1 and 2: Minimum High School diploma or equivalent.
LEVEL 3: All education listed above, and: specialized mailroom / mailing training and certification.
