Schedule:

  • Tuesday to Thursday, 8:00 AM – 5:00 PM (Onsite)

  • No work on Mondays and Fridays

Employment Type: 3-Month Contract (Possibility of extension)
Work Arrangement: Onsite (In-person)
 


Role Summary:

We are seeking a bilingual (French/English) Workplace Experience Receptionist to support the daily operations of a dynamic office environment. Reporting to the Assistant Facility Manager, this role is essential for ensuring a welcoming atmosphere and smooth guest experience while supporting various office and vendor management tasks.


Key Responsibilities:

  • Greet and welcome guests, ensuring a seamless arrival process

  • Escort visitors to designated locations and assist as needed

  • Collect and manage visitor contact information for internal records

  • Confirm guest arrivals and follow up on scheduled appointments

  • Assist with daily operations, facility coordination, and vendor management (cleaning, pest control, maintenance)

  • Support the Assistant Facility Manager on special projects

  • Maintain a clean, organized, and professional front desk and lobby area


Must-Have Skills:

  • Excellent communication skills in both French and English

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Ability to create professional reports and presentations

  • Strong organizational and interpersonal skills

  • Comfortable interacting with clients, vendors, and internal teams

  • Ability to follow instructions and handle basic problem-solving


Nice-to-Have Skills:

  • Experience using SAP and/or Coupa

  • Friendly, professional demeanor with a team-first attitude

  • Eagerness to grow with the organization


Qualifications:

  • Minimum 2–3 years of experience in a receptionist or front-desk support role

  • High school diploma (post-secondary education is an asset)

  • Strong attention to detail and customer service orientation

  • Basic financial understanding (percentages, calculations)
