IT Administrator - M001

The Office/Information Technology Administrator is an integrated role with our client which focuses on specific internal customer service. This role will be responsible for coordinating all IT related tasks with our IT Service Vendor and ensures completion in a timely manner.  This role reports to the Human Resources Director and works collaboratively with both management and staff. 

Duties and Responsibilities
  • Maintain a liaison relationship between the staff and management within the organization and the IT service provider for information technology solutions
  • Consult with internal clients and obtain quotes for all IT equipment needs with third party vendor
  • Administer all IT equipment including desktop computing, servers, printers, telephone instruments and equipment, video conferencing, and other general networking equipment
  • Set- up new hires and existing employees with all required IT equipment and technical needs. Contact hiring manager to assess IT needs for new employee and ensure all completed prior to start date.
  • Set up new users' accounts, profiles and dealing with password issues with external vendor
  • Track and maintain Software Licensing and Password listing document
  • Coordinate with external IT vendor on basic facility issues including new wiring installs, network cable runs and desktop / cubicle moves
  • Assist departments with external software’s, or applications specific to the department
  • Assist staff with user ID and password questions for external software and applications.
  • Manage Bell Total Connect account and membership registration
  • Manage office phones, changes, and updates for new and existing employees
  • Provide training to new employees and other training sessions as required
  • Coordinate the remedy all end user issues which include password resets, cellphone, and printer issues with external IT vendor, etc.
  • Project planning with external vendors for various IT projects
  • Assist with the ERP problem solving and maintenance
  • Potential for diagnose problems, train users, and provide desktop and mobile computing support during and outside of business hours
  • Maintenance of FortiGate Firewall system and FortiClient VPN in conjunction with external IT vendor
  • Perform pro-active maintenance on all computing equipment
  • Provide support over Microsoft Teams or over the telephone to resolve issues
  • Commit to supporting health, safety, and wellness according to relevant legislation and organization’s policies and procedures
  • Monthly inspection of work site with written report
  • Order office supplies as required and maintain storage of supplies
  • Ensure Boardroom and Office area is in a neat and organized manner
  • Coordinate repairs and maintenance with Property Manager while maintaining communication with internal contacts
  • Maintain a high degree of data integrity and confidentiality with all tasks
  • Other duties as assigned
  • Completion of a College degree or diploma in informational technology
  • Good knowledge in general IT support and trouble shooting skills
  • General Office Administration skills, data entry, filing, organizing, customer service, etc.
  • Demonstrated ability to work independently or as a team player on assigned tasks
  • Excellent customer service, strong interpersonal and communication skills (written and oral)
  • A highly organized and detail-oriented individual who has excellent time and priority management skills
  • Excellent time management and problem-solving skills
  • Ability to work off schedule hours when needed
